VFS Japan Visa PH: Regular vs Premium Guide

Getting your tourist visa is the biggest hurdle before your Japan trip. I have actually applied at VFS Cubao twice recently, once using their Premium Lounge and once through a Regular slot.

The process is pretty straightforward once you are at the counter, but the waiting times and hidden rules can really throw you off. Here is my honest breakdown of how both paths actually work so you can plan properly and avoid the bottlenecks.

1. The Regular Slot Booking Trick: How to Actually Find One

If you check the online VFS booking portal months in advance, it will look like only premium slots are available. Do not let that trick you into paying more if you do not want to.

• The Premium Strategy: VFS opens the Premium Lounge appointments months ahead to get people to book them early.
• The Last-Minute Opening: They only open regular slots a couple of days before the actual date.
• The 48-Hour Rule: If you want a regular slot, you need to check the portal one or two days before your planned date. For my recent trip, my schedule was on the 16th and I successfully booked my regular slot on the 14th. It was completely unavailable on the 13th, so timing is everything.

2. Premium Lounge vs. Regular Pathway: Is it Worth the Fee?

The price difference between the two tracks is quite a jump just for a different room.

The visa itself is technically free for Filipinos, so these fees are strictly for using the VFS center and choosing your service tier.

3. The Honest Truth About Wait Times and Facility Rules

No matter which slot you choose, expect to spend at least two to two and a half hours at the center.

The Regular Slot Experience (Mid-Afternoon)

For my regular appointment, it was scheduled for 1:30 PM and I arrived exactly on time. Even though the office did not look crowded, the lines move slowly. People from the 1:00 PM batch were still waiting with me, and the receptionist did not even entertain me until 2:15 PM. They only had three counters open for about 15 people right before closing time.

The Premium Lounge Experience (Morning)

I previously tried the 10:45 AM morning slot for premium, and I did not even get inside the door until 11:00 AM. There is no separate line outside, everyone uses the exact same entry point. The premium lounge itself is actually really small. At one point, it got so packed that there was literally nowhere for people to sit.

🛅 The Electronics Ban: You cannot bring electronics like laptops or AirPods inside. Security will check your bag at the door and make you put them in a locker before you can even check in.

4. The Printing Traps to Watch Out For

Printing your documents at the venue is either incredibly slow or incredibly expensive.

• The Premium Printing Delay: In the premium lounge, they offer to print things for you, but there is usually only one receptionist handling the printing, check-ins, and questions. On top of that, their system has issues receiving emails sometimes. It took me 45 minutes just trying to print my documents, and I ended up having to go outside the center to print them anyway. Because it took so long, they passed my queue number and I lost my spot.
• The Two-Page Appointment Rule: When you print your VFS appointment letter, you must print both pages. The second page just has the grand total and some generic instructions, so I only brought the first page thinking it was all they needed. They made me print the second page there, and it cost a ridiculous 35 PHP for one page.

5. Counter Processing and Timelines

Once your number is finally called, the actual submission is very fast. If your papers are organized and straightforward, it takes less than 2 to 5 minutes for them to check everything, encode your data, and hand you your receipt.

If you are curious about how fast the embassy processes passports, here is the exact timeline from my first application run:

• December 1: Booked my slot online.
• January 20: Had my VFS appointment, and they sent my passport to the embassy the same day.
• January 21: Status changed online to "Under Processing".
• January 26: Got the notification that my passport was ready for collection.

Overall, if you plan to print anything, do it before you get there, make sure you have both pages of your appointment letter, and give yourself a solid two and a half hour window so you do not feel rushed.
